THE CONCEPTION

You are a non-profit so naturally you have a robust development office.  Many non-profits have the staffing to be able to do most of their special events in-house and do not require an outside events company to manage the entire planning process and execution.  However, an events consultation can be a valuable tool to your events planning process.  It will help you lay the foundation for all of the logistical work and ensure all aspects of the event stay on track.

THE PLAN

We will arrange a contract where our level of involvement is tailored to your needs.  Consultations can be limited to half a day where Expert Events reviews where you are an makes recommendations.  Consultations can also be more extensive where Expert Events provides recommendations and action plans and will check-in to review at key points in the lead-up to the event.

Expert Events will work within the agreed upon guidelines to ensure our support work is ultimately contributing to the fulfillment of your event goals.  We are a firm believer in maximizing your use of the resources that you already have at your disposal.  We make sure that our involvement is a true asset to your team and not a redundancy.

THE CONCEPTION

Whether your organization executes a wide array of events each year or or few, an outside assessment provides a valuable perspective.  Our strategic review process allows you to re-think your organizational structure and your use of resources to better maximize efficiency and quality in your ongoing event planning work.   

THE PLAN

We conduct focused interviews of your key stakeholders, from your special events staff to your Board of Directors.  We also conduct research on peer organizations to provide information what sorts of events they're having and how they're structured. 

THE EXECUTION

Following our information gathering, we will construct a detailed report of our findings and recommendations based on our over 20 years of experience in the event planning business and knowledge of industry standards.  We will meet with you to go through the report and assist in devising an action plan to move forward.


Important to Note: Besides the considerable time involved, a key benefit of hiring an outside company to do this assessment work is that we can act as a buffer; individuals tend to be more honest and candid with someone with whom he or she does not need to worry about maintaining a good working relationship.

INOVA HEALTH FOUNDATION

Falls Church, VA

Expert Events has worked with Inova Health Foundation for the past two years.  One service we have provided is a full strategic assessment of all of their events across the hospital system.  This included evaluating staff and consultant resources vis-a-vis the ultimate fundraising outcomes and determining how much attendance overlap there was across the multiple events.  At the end of the process, we made recommendations for streamlining, combining resources, and best uses of staff of consultant time.

THE PLAN

We will work with your key staff to create action plans based on your goals.  We will provide detailed timelines and regular status reports to ensure that your event can afford to be ambitious, but achievable.  Our team will handle all event logistics from the largest details, such as sourcing vendors, creating collateral materials, and ensuring seamless registration, to the smallest details, such as making sure there are working outlets where equipment needs to be plugged in.

THE EXECUTION

Our team will be on site to run all aspects of the event from load-in to load-out to ensure a smooth, successful, and memorable event experience.  We will produce a run of show that is detailed down to the minute, making our staff “the man behind the curtain,”  allowing your staff to concentrate on your donors and honorary guests.

Project HOPE

Event:  Expert Events managed the 50th Anniversary Celebration and Capital Campaign Launch.  Services started with consulting and goal setting session on an event heavily themed around International Humanitarian and Health Care mission.  We were then hired to do all of the event management, which included a book signing and kickoff reception at the Kitano, lunch at the United Nations with keynote speaker Dr. Sanjay Gupta, a gala at Gotham Hall with remarks from three family members of former U.S. presidents, and a closing brunch.  As a part of the weekend of events, we coordinated all vendor services including international-themed decor, and entertainment from three international groups and the Glenn Miller Orchestra.  Services included all timelines, theme ideas and execution, scripting, stage management, overall logistics, transportation scheduling and oversight, VIP handling, and security.

PARTNERS FOR SACRED PLACES

Events:  Expert Events executed a series of fundraising “suppers” as part of a City-wide “Book and the Cook” restaurant festival.  Our responsibilities included all logistical management and site-selection of organization-supported sacred space; and acting as liaison with chefs, cookbook authors and caterer, and program and stage management.  

Following this, Expert Events was brought on board to assist in the organization of a national conference at the National Cathedral in Washington, D.C. 

Currently, Expert Events is working on the event logistics for “We Shall Overcome," a full-day celebration honoring Rev. Dr. Charles Albert Tindley.  The event is to include a City-wide Gospel celebration at Tindley Temple with an expected attendance of 2000.  This is to be preceded by a fundraising dinner honoring Rev. Dr. Wilson Goode, former Philadelphia Mayor, for his faith-based work.

Africare

Event:  Expert Events was hired to manage the annual fundraising event and to implement an expanded format.  The featured awardee was President Obama.  We coordinated entertainment, from musicians to a children's performance group where the performers were either from different regions in Africa, or playing music with African origins.  We provided all planning and execution, logistical and stage management, and security for several African presidents and foreign dignitaries.  The event drew approximately 900 attendees.

Note:  In addition to continuing to produce Africare's annual gala, we have done two other events for this organization, one at the Washington Hilton, and one for select sponsors/donors at the U.S. Chamber of Commerce.

Inova Health Foundation

Event:  Expert Events was brought on to expand the annual gala to encompass a full weekend of events and academic sessions including partnering with The Atlantic for programs.  We oversaw all aspects of three-day event including major office set-up on site; sourced and managed electronic registration and auction management system; oversaw video production for program elements; and production and stage management for headline entertainment.
